Situation

The problem was not only technical

Work happened through emails, spreadsheets, verbal agreements and scattered files. It was difficult to see who approved a decision, where a request was stuck, what the current status was and what could be shown to management or audit.

My role

From unclear need to daily use

  • Mapped the process into statuses, responsibilities and decision points.
  • Separated what should be automated from what first needed simplification.
  • Designed approvals, notifications, reporting and audit trail logic.
  • Aligned the solution so it made sense to both business and IT teams.

Outcome

What became usable in practice

Clearer statuses

People can see where a request is, who owns the next step and what has already been approved.

Less manual chasing

Approvals and reminders become part of the process instead of separate email work.

Decisions have a history: who did what, when and why.
